Velvet Caravn is a beverage service caterer available for weddings, private parties, corporate events, and milestone celebrations throughout Charlotte, NC and the surrounding areas. We bring the bar to you — professional bartenders, full setup, and a seamless experience for every event.
Age Restriction
We strictly operate as a 21+ beverage service. A valid government-issued ID is required for all guests ordering from the bar, including selections from our non-alcoholic and mocktail menu.
Service Agreement
The Service Provider agrees to deliver 4 to 6 hours of professional beverage service, with setup occurring up to 2 hours prior to the event start time. This service includes the complete setup and breakdown of bar equipment, a professional bar tool kit, ice management, cooler service, and fresh garnish preparation. Additionally, the team will provide a customized drink menu, wear attire consistent with your event theme, and perform a thorough cleanup of the bar area at the conclusion of the event.
All packages include a one-hour consultation for event customization. Clients will use this time to submit special event notes and finalize their custom menu selections for categories, brands, mixers, and wines.
Retainer Fee
Securing your date requires a 30% retainer upon booking, with the remaining 70% balance to be settled no later than 30 calendar days before the celebration. We accept payments via Venmo, Zelle, checks, and credit or debit cards, though a processing fee may apply to card transactions.
To ensure your date remains scheduled, the remaining balance must be received by the 30-day deadline. If payment is not received by the deadline, the booking will be canceled and the deposit will be retained, unless a proper cancellation was submitted for a full refund.
Cancellation & Refund
Cancellation (21+ Days): Cancellations made 21 or more days before the event will receive a full refund of all payments made.
Cancellation (11–20 Days): Cancellations made between 11 and 20 days before the event will receive a refund of the 30% deposit only. The remaining balance is non-refundable to cover advanced event preparation and inventory costs; however, all alcohol purchased for your event will be made available to you.
Cancellation (10 Days or Less): Cancellations made 10 days or fewer before the event are strictly non-refundable. All alcohol purchased for your event will be made available to you.
Alcohol Inventory Pickup: If your event is canceled, you have exactly 30 days from the scheduled event date to collect your purchased alcohol inventory. Any inventory not picked up within this 30-day window will be disposed of, and no additional compensation will be provided.
Cancellation by Client: The Client may cancel this agreement at any time by providing written notice to us via email.
Cancellation by Service Provider: In the unlikely event that the Service Provider must cancel due to an emergency, illness, or circumstances beyond their reasonable control, the Service Provider shall:
(a) Make every reasonable effort to secure a qualified replacement bartender at no additional cost to the Client; and
(b) If a suitable replacement cannot be arranged, a full refund of all amounts paid by the Client will be issued within ten (10) business days.
Requests to reschedule the event must be submitted in writing at least twenty-one (21) days prior to the original event date. Rescheduling is subject to the Service Provider’s availability and is not guaranteed.
Event Overtime
Services are contracted for 4 to 6 hours as specified in the service agreement. If the Client requests services beyond the agreed event end time, an overtime rate of $75 per hour per bartender, shall apply. All overtime fees are due at the time of the request, and must be remitted to the Service Provider. Overtime extension is subject to the Service Provider’s availability and discretion.
